These terms and conditions ("Terms") govern the provision of school photography services by John Hunt Photography Limited ("JHP Schools", "we", "us", or "our") to schools and parents/guardians ("you" or "your").
By booking our services or placing an order, you agree to be bound by these Terms.
JHP Schools provides professional photography services to schools, including:
3.1 Schools must book photography sessions in advance by contacting us via email or phone.
3.2 We will confirm the booking date in writing.
3.3 Sessions are subject to availability and scheduled on a first-come, first-served basis.
3.4 We reserve the right to reschedule due to circumstances beyond our control (e.g., severe weather, equipment failure).
4.1 Schools must provide an accurate student list and class groupings before the photography session.
4.2 Schools should ensure students are available and prepared for photography at the scheduled time.
4.3 We reserve the right to refuse to photograph any individual who is behaving inappropriately.
4.4 Photography sessions typically last one school day, depending on school size.
5.1 Schools must obtain parental consent for students to be photographed.
5.2 Schools must inform us of any students who should not be photographed.
5.3 We will not photograph any student without appropriate consent.
6.1 Parents order photographs directly through our secure online portal.
6.2 Payment is required at the time of ordering by credit/debit card or other accepted payment methods.
6.3 All prices are in British Pounds (GBP) and include VAT where applicable.
6.4 We accept Visa, Mastercard, American Express, Apple Pay, and Google Pay.
6.5 Orders cannot be amended once submitted and paid.
7.1 Photo orders are delivered directly to the home address provided by parents.
7.2 Standard delivery time is 3-4 weeks from the order date.
7.3 We are not responsible for delays caused by incorrect addresses or courier issues beyond our control.
7.4 Delivery is via Royal Mail or courier service depending on order size.
8.1 We guarantee professional quality photography and printing.
8.2 If you are not satisfied with your order due to printing defects or damage, contact us within 14 days of receipt for a replacement.
8.3 We cannot accept returns for reasons of personal preference (e.g., child's expression, pose).
8.4 Digital images cannot be returned once downloaded.
9.1 Schools receive up to 20% commission on all photo orders placed by parents.
9.2 Commission is calculated on net sales (excluding VAT and delivery charges).
9.3 Commission is paid to schools termly or as agreed in the booking contract.
9.4 Commission statements are provided showing all orders placed.
10.1 JHP Schools retains copyright of all photographs taken.
10.2 Parents may use purchased photographs for personal, non-commercial purposes only.
10.3 Photographs may not be reproduced, copied, or distributed commercially without our written permission.
10.4 We reserve the right to use photographs for marketing purposes with appropriate consent.
11.1 We process personal data in accordance with UK GDPR and Data Protection Act 2018.

11.3 Photographs are stored securely for one academic year to allow for late orders.
11.4 Parents can request deletion of their child's photographs at any time.
12.1 Schools may cancel bookings up to 14 days before the scheduled session without charge.
12.2 Cancellations within 14 days may incur an administration fee.
12.3 Parents may cancel orders within 14 days of ordering for a full refund (excluding digital downloads).
12.4 Refunds are processed within 14 days of cancellation approval.
13.1 We maintain professional indemnity and public liability insurance.
13.2 Our liability is limited to the value of the order placed.
13.3 We are not liable for indirect or consequential losses.
13.4 Nothing in these Terms excludes our liability for death or personal injury caused by negligence.
We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to severe weather, pandemics, natural disasters, or equipment failure.
We reserve the right to update these Terms at any time. Changes will be posted on our website and apply to bookings made after the update date.

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
